For each of these options, you will need to login to www.iastatejobs.com/hr using your user name and password Create a vacancy using Template (Faculty, XH vacancies) or from a Previous Vacancy: • Locate create notice of vacancy in the red/gold menu on the left • Select create from template • Click search to view all titles or select by Job Category or Job Title and click on search • Select ‘create’ under the Vacancy Title • Fill in the fields under the Vacancy Information tab. Templates provide information here that is applicable to the classification but can be modified. • Click continue to next page to complete the information in each tab, i.e. enter recruitment plan, add screening questions, activate guest users and name a ‘next reviewer’. • To submit the vacancy, click on the Next Reviewer tab, select the name of the next reviewer, click preview notice of vacancy summary at the top or bottom of any screen and “Approve NOV and send to Next Approver”. Use “EDIT” to move from this summary view back to the tab view. • To save the vacancy at any time, click preview notice of vacancy summary at the top or bottom of the screen, then “Save without submitting” > continue > confirm • To return to a saved vacancy, from the red/gold menu select vacancies > view pending. Note: The fields in
blue
text will be displayed on the Vacancy Announcement.
There are fields
related to the vacancy under the Position Information, Vacancy Information, Screening
Questions and Points for Screening Questions tabs.
To
submit
the PD/NOV to the next reviewer, select the person’s name under the Next
Reviewer tab. Click the gray preview action link at the top of the screen and “Send to Next
Reviewer” >continue > confirm.
To
save
your work at any time, click the gray preview action at that top of the screen and
“Save Action Without Submitting”, >continue > confirm
To
return to a saved PD/NOV
, click pending actions under the Position Descriptions menu
Review/approve a vacancy
Click on vacancies > view pending
Find the vacancy waiting for approval and click “
View
” under the vacancy title
Scroll to review details of the vacancy
To edit the vacancy, first click ‘
edit
’ located above the Vacancy Status bar, then the red
Vacancy Information tab.
To add notes, click on the Notes/History tab, scroll to ‘Add Notes’ field, add your comments and
click “Add Notes”
To submit, click to a reviewer, click the Next Reviewer tab and select the name of the next
reviewer, then continue to next page.
Select “Approve NOV and Send to Next Reviewer” > continue > confirm
These actions will send an email to the person you have indicated as an alert to review the
vacancy
View applications
Click on vacancies > view active
Locate your vacancy; click on “
View
” under the vacancy title
Locate applicant name, click on ‘
View Employment App’
or click on the Resume/Curriculum
Vitae, Cover Letter, or Other Document listed there.
These open in a separate window
To view all application materials at once, click on the word ‘All” in the far right column, then
“view multiple applications” or “view multiple documents” near the bottom of the screen
To print all application materials, view as above and use your browser ‘Print’ button
Create a list of applicants for mail merge, emails, etc.
Click on
vacancies > view active
Locate your vacancy; click “
Get Reports List
Click on ‘Applicant Address List’ and generate report
Use your mouse to select and copy the list
Open Word or Excel (keep cursor in upper left cell) and paste
Enter Applicant Screening Results:
After you have reviewed applicant’s materials,
Click on “vacancies > view active”
Locate your vacancy and click “
View
” under the title
Locate the Applicants tab, scroll to the applicant record you want to record
Click “
Complete Matrix and Change Status
” located under the applicant’s “Status” column
Select the appropriate change to make: status, rating and/or comments. Then ‘continue to
confirm page’, then ‘save status changes’.
View ‘
What Applicants See
” to understand what
the change in status will display to the applicant.
To change multiple applicants, click the boxes on the far right “All/None” column for those
applicants that you want to change (or click ‘All’ on the ‘All/None column header to select all
applicants), then click “change multiple applicant statuses” located at the bottom of the
applicant list
Complete and Submit Hire (PEMF)
Identify the applicant selected by changing status to “Selected for Hire”
Click on the “
Complete PEMF”
link that appears in the applicant’s record
Click “
Start Action
” to initiate and then “
Start Action
” to confirm
Complete/edit all the fields on the PEMF
continue to next page to complete Recruitment Results
Click on view action summary at the bottom of the screen to save
At the NOV, click on ‘Next Reviewer’ tab, select the name of the person who should receive
email notification to review the hire selection
Click continue to next page or
